Headquartered in Stafford, VA, Hilldrup is a moving and storage company with approximately 900 employees and 8 additional locations along the East Coast. Hilldrup offers corporate clients, government agencies and residential customers local, long distance, international and commercial moving and storage services.

Hilldrup is seeking to hire a Clerical Administrator within our commercial relocation division located in Capitol Heights, MD. The candidate we select will be responsible for the day-to-day flow of all billable paperwork. To include employee and contractors’ timesheets, cost rating of commercial jobs, verify billing paperwork and distributes revenue to drivers, sales persons, and individual cost centers within the Hilldrup organization. Adjust job balance sheets and initiates corrective action when necessary.

JOB DESCRIPTION

Frequent contact with crews, salespeople, drivers, agents and customers concerning rating, billing and revenue distribution. This position must maintain up-to-date information regarding all tariffs and distribution formulas. Work is performed in a normal office environment. Audits all incoming local, interstate, intrastate, and permanent storage paperwork for Hilldrup shipments for completeness and accuracy. Responsible for knowledge of proper contracts and/or tariff applications and how they apply to a shipment when billing and invoicing a national account or government agency. Responsible for accuracy of entering charges into the Cost Sheet and Mover's Suite based on the above applications and for viewing special instructions, memo pad, and notes to insure proper billing. Scans all job paperwork and payable backup paperwork into imaging system. Runs open orders report to make sure all jobs are completed in a timely manner. Reconciles third party invoices for accuracy. Assists Customer Service and Operations with various administrative duties. Assist in answering the department phones and direct calls to appropriate party. Assist staff members with other duties as assigned.

JOB REQUIREMENTS

Education: High school diploma or equivalent work experience.

Experience:  Minimum of 1 year of general administrative experience with emphasis in accounting.

Licenses, Certifications, and/or Registrations: None required.

Other Minimum Qualifications: General knowledge of tariffs, rate structures terminology preferred. Basic math skills required.  Ability to use calculator and Microsoft Excel.  Must be proficient with PC applications.
